A fleet preventive maintenance program has three parts: quick daily checks by drivers, scheduled service by mileage or engine hours, and one record per vehicle so nothing is missed or done twice. Get those right and most roadside breakdowns become planned shop visits instead.

When a van misses its route or a service truck misses a job, the repair bill is only part of the cost. Below is the checklist we use with fleet customers at CarNation Elite in Northeast Dallas, from owner-operators with two or three trucks to companies running 20 or more units.

Daily driver checklist (2 minutes)

  • Walk around: tires look properly inflated, no visible damage or leaks under the vehicle
  • Lights: headlights, brake lights, turn signals, hazards
  • Warning lights on the dash after start-up
  • Brakes feel firm; no pulling, grinding or new noises
  • Mirrors, wipers and horn work
  • Note anything unusual on the log, even small things

The last point matters most. Small notes like "slight squeal when braking" or "A/C weaker today" are how problems get caught at the $150 stage instead of the $1,500 stage.

Most fleet vehicles qualify for the manufacturer's severe service schedule: heavy loads, towing, idling, stop-and-go routes and extreme heat. Use it.

Texas heat items to add to any fleet program

  • Batteries: heat shortens battery life, often to 3 to 4 years. Test every battery at each service from year two.
  • Cooling systems: check coolant, hoses and fans before June. Overheating in summer traffic is one of the most common fleet breakdowns.
  • A/C: drivers in a hot cab are slower and less safe. Check A/C every spring.
  • Tires: hot pavement and heavy loads raise blowout risk on underinflated tires. Check pressure weekly in summer.
  • Transmission fluid: heat is the main cause of transmission failure on loaded vans and trucks.

How to cut fleet downtime

  1. One shop, one record per vehicle. When units are serviced at different places, nobody knows the full history.
  2. Stagger the schedule. Service vehicles on a rolling calendar so you're never down several at once.
  3. Book early drop-offs. Many services can be finished before the workday gets going.
  4. Fix small items at the next service, not "someday." Driver notes should turn into work orders.
  5. Track cost per vehicle. When one unit's repair costs keep climbing, it's time to plan its replacement.

Follow the manufacturer's severe-service interval for oil and inspections, since most fleet use counts as severe. For many vans and trucks that means an oil service and inspection every 5,000 to 7,500 miles, plus a fuller inspection every 6 months.

What should be on a fleet vehicle inspection checklist?

Tires and pressure, lights, brakes, fluid levels and leaks, belts and hoses, battery, wipers, mirrors, horn and dash warning lights, plus a driver note on anything unusual.

Do commercial vehicles still need inspections in Texas?

Yes. Texas ended annual safety inspections for personal vehicles in 2025, but commercial vehicles still need them, and emissions testing still applies in Dallas County.
